Bookings
On this page
Let clients book appointments on your site, like a simple Calendly: they pick a service, a day and a free time, leave their details and get a confirmation by email. Open Bookings in your site's menu.
Set it up in three steps
- Add your services. Go to Bookings → Services and click Add service. Give it a name (in each language of your site, or just the main one), a Duration and, if you like, a Buffer after (free minutes to tidy up or travel) and a Price shown as text, such as €40 or Free. Nothing is charged online.
- Set your hours and rules. Go to Bookings → Hours and rules:
- choose the Time zone of the business; your hours are in this time zone;
- add working hours per weekday (a day can have several ranges, for example 09:00–12:00 and 14:00–18:00; a day without hours is closed). Copy Monday to Tuesday–Friday saves typing;
- Start times every: how often an appointment can start (for example every 30 minutes);
- Minimum notice: how many hours before an appointment it can still be booked;
- How far ahead: how many days into the future clients can book;
- Maximum bookings per day (0 = no limit);
- Days off: holidays and other closed days;
- Confirmation: Instant (booked right away) or I approve each booking (clients get “request received” until you confirm).
- Add the section. In the editor, add the Appointment booking section to any page or popup and publish. To show only some services, type their numbers (shown as #3 in Services) in Only these services, separated by commas.
What clients see
The section shows your services, then a calendar where only days with free times can be clicked, then the free times. Times are shown in the client's own time zone, with your business time next to them when the two differ. After booking, the client can add the appointment to their calendar (.ics file).
A time that is already booked, including the buffer around it, is never offered again, and two clients can never book the same time.
Emails
Emails are sent through your site's Email settings, so set them up first.
- The client gets a confirmation (or request received in approval mode), and an email when you confirm or cancel. Each email has the appointment as an .ics file and a private link where the client can cancel or choose another time on your site.
- You get an email about new, moved and client-cancelled bookings (turn it off under Hours and rules). With Telegram connected under Account → Notifications, you are also told there instantly.
Managing bookings
Bookings → Bookings lists Upcoming and Past appointments; filter by Pending, Confirmed or Cancelled. Click one to see the details. You can:
- Confirm a pending booking;
- Cancel booking (the time becomes free again);
- add a Message to the client (optional) that goes into the email, for example Please arrive 5 minutes early;
- Download .ics to add it to your own calendar.
New bookings and client cancellations show a counter next to Bookings in the menu. Upcoming bookings from all your sites are also in the Inbox, on the Bookings tab.
Plan limits
Bookings do not count against your plan's monthly inquiry limit, so a booked time is never hidden from you. To keep spam out, each visitor can book a few times per hour, and you can set a Maximum bookings per day.
