Email settings

On this page

Each site sends its own emails: notifications to you about new inquiries, an automatic reply to the visitor, your replies from the inbox, newsletters to your subscribers and the purchase emails of the store. Email settings decide how these emails are sent and from which address.

Open them from your site's menu: Email settings.

Inquiries are always saved in your Inbox, even when sending is turned off. Email is an extra notification, not the only copy.

What emails your site sends

Email Who gets it When
New inquiry notification Everyone under Who gets notifications A visitor sends a contact form. A reply to this email goes straight to the visitor.
Automatic reply The visitor Right after they send a form, if turned on (for all forms here, or per form in the editor).
Subscription confirmation A new newsletter subscriber Right after they sign up, when Double opt-in is on (see Inbox).
Newsletter Your confirmed subscribers When you send a campaign from Newsletter (see Inbox).
Your reply from the inbox The visitor When you click Send on an inquiry.
Purchase confirmation with the download code The buyer After a successful payment (or a free order) in your Store.
New order notification Your notification recipients After each sale, if turned on in Store → Settings and Stripe.

Without working email settings, none of these are sent: you can still read everything in the dashboard, and buyers still see their code on the page they land on after paying, but nobody gets an email.

Choose a sending method

Under Sending method, pick one:

  • Off: inquiries are only saved in the admin. Nothing is sent.
  • SMTP (Hostinger, Gmail, Outlook…): send through the mailbox you already have. Recommended for most people.
  • Resend: a sending service; you need a Resend account and a verified domain.
  • PHP mail() from the server: the simplest option, but such emails often end up in spam. SMTP or Resend is recommended.

SMTP

Fill in the details from your email provider:

  1. SMTP server, for example smtp.hostinger.com.
  2. Port and Encryption: SSL (port 465) or STARTTLS (port 587).
  3. Username: usually your full email address.
  4. Password: the password of that mailbox. After saving it shows as saved; leave the field empty to keep the current one.

Example for Hostinger: smtp.hostinger.com, port 465 (SSL), the username is the full email address and the password is that mailbox password.

Gmail and Outlook accounts with two-step verification usually need an app password instead of your normal password. Create one in your Google or Microsoft account security settings.

Resend

  1. Create an account at resend.com and verify your sending domain there.
  2. In Resend go to API Keys, create a key and copy it.
  3. Paste it into Resend API key and save.

Sender

  • Send from address: the address emails come from, for example [email protected]. Use an address of the same mailbox or domain you set up above, otherwise emails may be rejected or land in spam.
  • Sender name: what people see as the sender, for example your company name.

Who gets notifications

Every new inquiry goes to all addresses in this list. Type an address and click Add; click Remove to take one off. Add yourself, your colleague, your assistant: everyone gets the same email, and replying to it goes straight to the client.

Notification subject starts with: a short prefix for the subject line, for example New inquiry, so you can filter these emails in your mailbox.

Automatic reply to the client

Turn on Automatic reply to the client to send visitors an instant confirmation, for example Thanks for your inquiry, I will get back to you within 24 hours.

  • Write a Subject and Message for each language of your site. The visitor gets the version of the language they filled in the form in.
  • Write {name} in the message and it is replaced with the visitor's name. {email}, {site} (your site's name), {result} (the quiz result) and the key of any form field in braces, such as {phone}, work too.
  • The message supports simple Markdown: **bold**, *italic*, [link](https://…) and lists.
  • The visitor's form needs an email field (key email) for the reply to be sent.

This message is the default for every form. In the editor, each contact form (also in popups and step-by-step forms) can instead use Own message for this form or No automatic reply: open the section and choose Automatic reply email to the visitor.

Automatic replies are sent in the background within a few seconds. Open the inquiry in the Inbox to see whether it was sent or why it failed.

Test it

  1. Click Save.
  2. Under Send a test to, enter your own address and click Send test.
  3. You see Test message sent to … or an error message explaining what went wrong (wrong password, wrong port and so on).
  4. Check your inbox, and also the spam folder.

Troubleshooting

  • Authentication failed: check the username (usually the full address) and the password. For Gmail/Outlook use an app password.
  • Connection timed out: try the other port/encryption combination (465 with SSL or 587 with STARTTLS).
  • Emails land in spam: use SMTP or Resend instead of PHP mail(), send from an address on your own domain, and set up SPF/DKIM for your domain with your email provider.
  • Replies from the inbox fail: you see Set up the email settings of this site first until a sending method and a valid Send from address are saved.
