Inbox

On this page

Everything visitors send through your forms ends up in the inbox: inquiries from contact forms (with quiz answers, if any) and newsletter sign-ups. Inquiries are always saved here, even if an email notification does not arrive.

Two ways to open it

  • Inbox in the main menu shows inquiries and subscribers from all your sites in one place. Use the site filter to see just one site.
  • Inquiries in a site's menu shows the inquiries and subscribers of that site only.

Both work the same way. A number next to Inbox and Inquiries in the menu shows new inquiries. It refreshes on its own every few seconds, and a short notice (New inquiry) pops up when one arrives, even while you are on another dashboard page. The browser tab title also shows the count.

Reading inquiries

The list shows the newest inquiries first. You can:

  • search by name, email or any text in the message (Search name, email, text…);
  • filter by status (see below);
  • in the unified inbox, filter by site.

Click an inquiry to open it. You see every field the visitor filled in, the site and the language version they used, and the date. Opening a new inquiry marks it as read.

If the visitor took a Quiz on the same page before sending, you also see Quiz answers and their Result. See Forms and quizzes.

Statuses

Use statuses to track where each lead is:

Status Use it when
New Just arrived.
Contacted You replied or called. Set automatically when you reply from the inbox.
Qualified A real lead with a real need.
Won They became a client.
Closed Finished or not interested.
Spam Junk.

Open an inquiry and choose the Status. The counters at the top show how many inquiries are in each status.

Notes

Under Internal notes, write anything you want to remember (called on Monday, sending an offer). Only you can see these notes. Click Save note.

Replying

You can answer a visitor directly from the inbox:

  1. Open the inquiry.
  2. Check the Subject (it starts as Re: your inquiry).
  3. Write your message and click Send.

The reply is sent from your site's email address, and when the visitor answers, the answer arrives in your own mailbox. Your sent replies are listed under the inquiry (You replied); a reply that could not be sent is marked not sent.

To reply from the inbox, the site needs working Email settings, and the form needs an email field (key email).

If the visitor left a phone number in a field with the key phone, a Call client button lets you call them straight from your phone.

To remove an inquiry, click Delete and confirm. Deleting is permanent.

Automatic reply

When a visitor sends a form, they can instantly get an automatic email from your site, for example Thanks, I will get back to you within 24 hours. Open an inquiry to see what happened to it:

  • Automatic reply sent, with the time;
  • Automatic reply is being sent (it goes out within a few seconds);
  • Automatic reply failed, with the error from your email provider (for example a wrong password). Fix your Email settings; the inquiry itself is always saved.

The default message is set in Email settings. Each form can use that default, its own message, or no automatic reply: in the editor, open the contact form section (also inside a popup or a step-by-step form) and choose Automatic reply email to the visitor. With Own message for this form you write a subject and message for every site language. A reply is sent only when the form has an email field (key email) and the site's email settings work.

The message supports simple Markdown: **bold**, *italic*, [link](https://…), lists. These placeholders are filled in:

Placeholder Becomes
{name} The visitor's name
{email} The visitor's email
{site} Your site's name
{result} The result of the Quiz they took, if any
{phone}, {message}… Any form field, by its key

Subscribers

Switch to Subscribers to see everyone who signed up through a form set to Newsletter sign-ups. Each address is saved once per site, with the name (if asked), language and the form it came from. Remove a subscriber with the delete button.

A subscriber can be:

  • confirmed: gets your newsletters;
  • Not confirmed yet: signed up but has not clicked the link in the confirmation email (see Double opt-in below);
  • Unsubscribed: clicked the unsubscribe link. They never get newsletters again, unless they sign up again themselves.

No subscribers yet? Set a contact form to Newsletter sign-ups (go to subscribers) in the editor.

Newsletter

Open Newsletter in your site's menu (or Write a newsletter on the Subscribers view) to email your subscribers.

  1. Write a Subject and a Message. The message uses Markdown (**bold**, *italic*, [link](https://…), - lists, # headings) and the placeholders {name}, {email} and {site}. The Preview next to it shows the email as it will look.
  2. If your site has several languages, choose Send to: all subscribers, or only those who signed up in one language. Write the newsletter in that language.
  3. Click Send test to get the email in your own mailbox first.
  4. Click Send campaign and confirm.

Sending runs in the background, so you can close the page. Emails go out through your site's Email settings, a few per minute (Emails per minute in Newsletter settings, 30 by default). Keep it low for regular mailboxes such as Gmail or Hostinger (about 20–30 per minute); Resend and similar services allow more.

Under Campaigns you see every campaign with how many emails were sent and how many failed, and a progress bar while it is sending. You can Stop a campaign, Resume a paused one and Use again to copy an earlier campaign into the form.

Who gets a campaign: only confirmed subscribers within your plan's limit. People who unsubscribed are always skipped, even if they unsubscribe while the campaign is still sending.

Unsubscribe link

Every newsletter ends with your site's name and an Unsubscribe link. One click unsubscribes the person and shows a page on your site's address, in the language they signed up in. Email apps like Gmail and Apple Mail also show their own Unsubscribe button for your emails. The link is signed, so nobody can unsubscribe someone else by guessing an address.

Double opt-in

With Double opt-in turned on (the default, in Newsletter settings), a new subscriber first gets an email in their language with a Confirm subscription link. Only after they click it do they get newsletters. This keeps fake and mistyped addresses off your list and protects your sender reputation.

Double opt-in needs working email settings. Without them, or when you turn it off, new sign-ups are confirmed right away.

Monthly email limit

Your plan may limit how many newsletter emails you can send per month across all your sites. The Newsletter page shows Emails this month and the limit. When the limit is reached, a sending campaign is paused; Resume it after you upgrade or when the new month starts. Automatic replies and confirmation emails do not count toward this limit.

Export to CSV

Click Export CSV to download your inquiries, or your subscribers when you are on the Subscribers view, as a spreadsheet file. Open it in Excel, Google Sheets or Numbers, or import it into your newsletter or CRM tool.

Monthly inquiry limit

Depending on your plan, you can receive a certain number of inquiries per month across all your sites (and keep a certain number of subscribers). The inbox shows Inquiries this month and your limit.

What happens when you go over the limit:

  • No lead is lost. New inquiries are still saved.
  • But they are locked: you see that an inquiry arrived (Locked inquiry, Over your plan’s monthly limit. Upgrade to read it.), but not its content, and you are not notified about it.
  • Upgrade your plan, then open the inbox: locked inquiries are unlocked as far as the new plan allows.

Good to know: deleting inquiries does not lower the monthly count. The count starts again at the beginning of each month.

Instant notifications

Besides email (set per site in Email settings), you can get every new inquiry and subscriber on Telegram, the moment it arrives. This is part of bigger plans.

  1. Go to Account → Notifications.
  2. Click Connect Telegram. Telegram opens our bot.
  3. Press Start. The bot confirms the connection.
  4. Come back and refresh the page. You should see Connected.
  5. Click Send a test message to check.

Click Disconnect to stop the messages.
